6. Configure Filenize

Filenize users with Filenize Admin permission have the privilege to configure the managed package. Upon accessing the configuration screen, users will find a helpful checklist of essential steps to be completed before Filenize is fully ready for use. The following steps must be accomplished before any Filenize configuration can take place:

  1. Assign Salesforce permissions to a user.

  2. Create your Named Credential.

  3. Select the Named Credential that users will use to log in. Choose the Named Credential that was created earlier.

  4. Select the Named Credential for your SharePoint service user. Choose the Named Credential that was (optionally) created earlier.

  5. Link your user with SharePoint.

By following these steps in the Filenize configuration screen, users can ensure that Filenize is set up correctly and ready for seamless integration with SharePoint, making it a powerful and efficient tool for your business needs.

SharePoint Instance

At least one SharePoint instance is required for any interaction with Filenize. This is crucial as it enables Filenize to identify the specific site, subsite, or document library to be utilized in your Salesforce org. By passing the SharePoint instance identifier to the Lightning Component or Apex, Filenize can handle the rest.

The beauty of SharePoint instances is that each Salesforce org can have multiple instances. This is especially beneficial for organizations with multiple sites or subsites designated for different departments. With SharePoint instances, Filenize can effortlessly display the relevant SharePoint instance in Salesforce, creating a tailored and efficient user experience that aligns with your organization's structure and workflows.

Selecting the right site, subsite, and document library for your SharePoint instance in an easy step-by-step - one-time - process.

In the Configuration page, navigate to the 'Configure your SharePoint instance' section and click on the 'Add' button. This will open a prompt to help you create the SharePoint instance. Follow these steps:

  1. Select the SharePoint Site you want to use (or choose 'None' if not applicable).

  2. Select the SharePoint Subsite you want to use (or choose 'None' if not applicable).

  3. Select the SharePoint List you want to use (most of the time, this is 'Documents').

  4. Finally, give your instance a name. This name will serve as a reference for your automation processes.

  5. Click on 'Save' to save the SharePoint Instance. After saving, a new entry will appear on the configuration page, along with its identifier.

Review your SharePoint instance. In addition, you can quickly see what kind of access your user has with the instance’s configuration.

If your business supports multiple SharePoint sites/subsites, you can add them using the “Add More” button.

Add Filenize to a Lightning page

With the SharePoint instances configured, you can now add the Filenize Lightning Component to a Lightning Record Page. The Lightning Component is named "SharePoint," as we may support more providers in the future. To do this, follow these steps:

  1. Create or open a Lightning Record Page by navigating to Setup > Object Manager > {Object} > Lightning Record Page.

  2. With the Lightning App Builder open, review the list of Components on the right-hand side and drag & drop the SharePoint component onto the page.

  3. Once the component is selected, ensure to choose the correct SharePoint Instance for the component to use.

  4. Save the page.

  5. The SharePoint browser is now visible for end-users to utilize.

By following these steps, you can seamlessly integrate the SharePoint browser within your Lightning Record Pages, enabling your end-users to access and work with SharePoint resources directly from Salesforce.
